You should receive an email with the confirmation and invoice shortly. Look out for a “welcome” email from Cvent within the coming months. This is where you can purchase LeadCapture and register booth staff. Below is additional information to help you have a successful IDEAcon experience. Exhibiting details

Included in your booth:

  • Identification Sign with company name and booth number
  • One skirted 6' table and two chairs
  • Pipe railing: 8' high back wall and 3' high side rails
  • Two booth staff badges per 10'x10' booth
  • WiFi


Please note: Booth rental does not include storage, placement, shipment or reshipment of exhibit materials, special lighting, booth furnishings, electrical supplies, carpet, individual booth cleaning or any other special service ordered by the exhibitor.

Hotel Room Block

IDEA has a block of rooms at the Renaissance Schaumburg Convention Center Hotel. Reservation Information:

  • Room with 1 bed: $150 + tax
  • Room with 2 beds: $165 + tax
  • Cutoff date: JANUARY 30, 2025
  • Billing: Individual guests to pay for their own room accommodations.  All reservations require an advance deposit of one (1) room night, per room, plus tax. This advance deposit is refundable if cancelled three (3) days prior arrival date of the reservation and a cancellation number is obtained.

EXHIBITING FAQ

  • How many Booth Staff passes do I receive?

    Each exhibiting organization receives two (2) complimentary booth staff (exhibitor) badges per 10' x 10' booth space reserved. 

    Additional badges can be purchased for $65 each.

  • How do I register my Booth Staff?

    Booth Staff will be registered via the Cvent Exhibitor Portal.  Whoever purchased your booth will receive additional information once registration is available. If someone else should be the primary contact, please notify Heather at hwoomer@ideaillinois.org


    Please note: Organization contacts are not automatically registered as booth staff for the event. Booth staff registration will be available closer to the conference.

  • Is Lead Retrieval available?

    IDEA works with Cvent to provide our exhibitors with the option to purchase Universal LeadCapture. This is a mobile application that enables exhibitors to gather leads by simply scanning attendee badges. 

    If interested, exhibitors will need to purchase a user license through the Cvent Exhibitor Portal.

  • Is electricity included in my booth?

    Electricity is NOT included in your booth package. Electricty may be ordered through SourceOne Events. 

    Additional information can be found in the Exhibitor Service Manuel (ESM) available in the fall.

  • Am I required to carpet my booth?

    The exhibit hall floor is concrete. Carpeting or other flooring options are not included and exhibitors are not required to purchase any floor covering for your booth. To help with accessibility, IDEA does not carpet our exhibit hall aisles. If you are interested in renting flooring for your booth, please place an order with SourceOne Events.

  • Does IDEA share the Attendee list?

    IDEA does not share attendee information. LeadCapture licenses are available to purchase through the Cvent Exhibitor Portal. 


    Additionally, you are welcome to host a giveaway at your booth to also collect attendee information. 

  • Are there any sponsorship opportunities?

    Sponsoring is a great way to bring brand awareness to our attendees. IDEA offers multiple sponsorship options. Click the link below to view our sponsorships.
